A-Better Heat & Air Conditioning, a leading Oklahoma-based HVAC contractor with over 40 years of industry experience, is seeking a highly organised and professional Administrative Assistant to join our team in Oklahoma City, Oklahoma. This is a Full-Time position in a dynamic and customer-focused environment. The successful candidate will be the backbone of our office operations, ensuring smooth administrative processes and providing outstanding support to our certified technicians and valued clients. We are looking for an individual who is proactive, reliable, and capable of managing multiple tasks efficiently. The offered compensation for this role is $32 - $49 USD per hour.
Responsibilities
As an Administrative Assistant, you will be a key member of our team, responsible for the day-to-day administrative tasks that keep our business running effectively. Your primary duties will include:
• Acting as the first point of contact for clients, handling incoming calls and emails with professionalism and courtesy.
• Scheduling service appointments and managing the calendars for our team of HVAC technicians.
• Assisting with the preparation of quotes, invoices, and processing customer payments.
• Maintaining and organising both digital and physical filing systems.
• Managing office supplies inventory and placing orders when necessary.
• Providing general administrative support to management and the technical team.
• Updating and maintaining the customer database with accurate information.
• Coordinating with technicians to ensure seamless communication and job preparation.
Qualifications

• Proven experience in an administrative or office support role.
• Excellent written and verbal communication skills.
• Strong organisational and time-management abilities, with a keen eye for detail.
• Proficiency in the Microsoft Office Suite (Word, Excel, Outlook).

• The ability to work independently and as a collaborative member of a team.
• Experience in the service or contracting industry is an advantage but not essential.
