About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to keep our office running smoothly and efficiently. In this role, you will serve as the primary point of contact for internal and external communications, manage schedules, and provide essential administrative support to our team. The ideal candidate is a proactive problem-solver with excellent communication skills and a friendly, professional demeanor.
Key Responsibilities
Serve as the first point of contact for phone calls, emails, and general inquiries, routing them to the appropriate personnel.
Manage and maintain team calendars, including scheduling meetings, appointments, and travel arrangements.
Prepare, format, and distribute memos, letters, reports, and presentations.
Organize and maintain digital and physical filing systems, ensuring sensitive information is kept confidential.
Welcome and assist office visitors, clients, and partners.
Monitor and order office supplies, coordinating with vendors to maintain inventory.
Process expenses, invoices, and basic data entry tasks.
Assist in organizing company events, team meetings, and catering.
Requirements and Qualifications
Proven experience as an Administrative Assistant, Office Assistant, or in a similar clerical role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
Excellent written and verbal communication skills.
Strong time-management abilities and the capacity to prioritize multiple tasks under a deadline.
High degree of attention to detail and accuracy.
Familiarity with standard office equipment (printers, scanners, multi-line phone systems).
