About the role
We are seeking a highly organized and detail-oriented Administrative Assistant to support our dynamic team in Toronto, Canada. In this full-time position, you will be responsible for a variety of administrative tasks that are essential to the smooth operation of our office, ensuring that we can deliver exceptional service to our clients.
Key responsibilities
- Manage scheduling and calendar coordination for team members, ensuring that meetings and appointments are efficiently arranged and communicated.
- Handle incoming communications, including phone calls, emails, and correspondence, responding appropriately or directing inquiries to the relevant parties.
- Maintain organized filing systems, both physical and digital, to ensure documents are easily accessible and up to date.
- Assist with the preparation of reports, presentations, and other documents as needed, contributing to the seamless execution of projects.
- Support office operations by ordering supplies, managing vendor relationships, and ensuring that office equipment is properly maintained.
- Collaborate with team members on special projects, providing administrative support that enhances productivity and workflow.
Requirements
- Proven experience in an administrative role, demonstrating strong organizational skills and attention to detail.
- Excellent verbal and written communication abilities, with a professional demeanor in all interactions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Ability to prioritize tasks effectively, managing multiple responsibilities in a fast-paced environment.
- Strong problem-solving skills and the ability to work independently as well as collaboratively within a team.
