We are looking for an Administrative Assistant to support our HR Operations Team. This role will primarily handle HR administration, employee relations, labor-related concerns, and disciplinary matters, while also providing general administrative and coordination support.
Key Responsibilities
HR Operations & Employee Relations
Provide administrative support for day-to-day HR Operations and Employee Relations activities.
Handle and coordinate employee concerns, grievances, complaints, and labor-related matters.
Support the management team in handling disciplinary actions, warnings, investigations, and employee cases in accordance with company procedures.
Prepare HR-related letters, notices, disciplinary documents, reports, and correspondence.
Maintain accurate and confidential records of employee cases, disciplinary actions, and HR documentation.
Coordinate with employees, management, and relevant departments to resolve employee-related concerns.
Provide guidance and administrative support on matters related to Saudi employment practices and labor requirements.
Ensure HR processes and employee actions are properly documented and aligned with applicable requirements.
Administrative & Workforce Support
Maintain employee files, records, trackers, databases, and document filing systems.
Support employee onboarding, mobilization, accommodation, transportation, and other workforce-related administrative activities.
Prepare reports, presentations, letters, correspondence, and meeting materials.
Coordinate meetings, appointments, calendars, travel arrangements, and accommodation bookings.
Assist with data entry, HR reports, trackers, and dashboard updates.
Coordinate with internal departments and business units on employee and administrative matters.
Handle confidential and sensitive employee information with discretion.
Support general office administration and document control activities.
Requirements
Arabic speaker with strong English communication skills.
Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, or a related field.
Minimum 5 years of relevant experience in HR administration, HR Operations, Employee Relations, or administrative support.
Working knowledge of Saudi Labor Law and HR regulations.
Previous hands-on experience handling employee relations, labor concerns, grievances, disciplinary actions, warnings, investigations, and employee cases in Saudi Arabia is required.
Experience dealing with Saudi labor-related matters and employee documentation is highly important.
Strong proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
